Optimization model for the organization of archives in the school control area of a public university of pedagogy

Abstract

In Mexico, most of the public or private institutions lack a correct management and organization of the archives, this in the long term becomes a serious administrative and time problem, therefore, the efficiency and effectiveness are diminished, so it is necessary to identify quickly where this lack of organization is generated and solve it immediately.

The present work manages to develop a proposal for a model to solve the problems of file organization within the area of school control of a Public University of Pedagogy.

The problem was diagnosed through a series of interviews applied to the person in charge of the school control area of the Public University of Pedagogy and to the personnel who work in this area, in addition to a questionnaire to the teachers who work in the educational institution, object of study.

The results of the instruments evaluated and identified the weaknesses and problems, among which the following stand out: lack of an optimization model, the management of files and records, the saturation of work that exists within the area of school control, lack of training for the area's personnel and the large amount of files that are handled on a daily basis.

The creation of the optimization model will help the proper organization of files and documents, as well as the correct decision making within the institution will benefit, significantly improving the time in which daily activities are carried out.
